Understanding Supplier Confidence Scores
What the confidence score means, how it is calculated, and what to do when a supplier score is amber or red.
What the Confidence Score Means
Every supplier in SmartSupply has a confidence score — a number from 0 to 100 that reflects how reliably they deliver the correct quantity on time.
A score of 100 means the supplier has delivered exactly what was ordered, every time. A low score means they have had a history of short deliveries.
The score is shown as a coloured badge on every order card in your Approvals page.
🟢 Green (80–100): Reliable Supplier
A green score means this supplier has consistently delivered complete orders. It is safe to approve large orders from a green supplier without special scrutiny.
🟡 Amber (60–79): Review Carefully
An amber score means the supplier has had at least one recent partial delivery — they sent fewer items than ordered. Before approving a large order from an amber supplier, check the recent delivery history in the Reports page.
You may want to approve a smaller quantity first, or contact the supplier directly to confirm they can fulfil the full order.
🔴 Red (below 60): Frequent Problems
A red score means this supplier has a recent pattern of short or missed deliveries. Consider whether you need this order urgently. If you can wait, consider whether an alternative supplier is available.
You can still approve an order from a red supplier — SmartSupply does not block approvals based on score. The score is information to support your decision.
How Scores Change
Scores are updated automatically when the Storekeeper confirms a delivery.
Full delivery (95% or more of ordered quantity received): the score improves slightly.
Partial delivery (less than 95% of ordered quantity): the score drops by 20 points.
Manual verification by the Storekeeper (physical stocktake confirmed): the score resets to 100.
Where to See the Score
Approvals page: an amber or red badge appears next to the supplier name on each pending order card.
Reports page: the Supplier Scorecard tab shows a trend chart — how each supplier's score has changed over the past 3 months.
Orders page: the score at the time of approval is logged on each order record.
Frequently Asked Questions
Why did the score drop even though the supplier says they delivered everything?
The score is based on what the Storekeeper records in SmartSupply, not what the supplier claims. If there was a discrepancy at the loading dock and the Storekeeper recorded a partial delivery, the score will drop. Review the delivery record in the Orders page to see exactly what was logged.
Can I reset a supplier's score manually?
Scores reset to 100 when the Storekeeper confirms a manual stocktake verification. There is no administrative override — this is intentional, to ensure the score reflects actual delivery performance. If you believe a score drop was in error, ask the Storekeeper to review the delivery record and contact the Hospital Admin if a correction is needed.
Troubleshooting
Problem: The supplier's confidence score dropped but I approved the delivery as full.
Solution: Check the delivery confirmation record in the Orders page. If the Storekeeper entered a partial quantity accidentally, contact the Hospital Admin — they can review the record. Note: once a delivery is confirmed, the stock update and score adjustment cannot be reversed automatically. The Admin can make a manual stock adjustment if needed.
